Job Title:Senior Project Portfolio Management (PPM) Tool AdministratorLocation:CityScapeWhat you'll do:Senior Project Portfolio Management (PPM) Tool Administrator is responsible for the configuration, maintenance, and evolution of the enterprise PPM solution. This is a key role within the Enterprise Project Portfolio Management organization and supports the current tool, Workfront, as well as regularly assessing future tool functions and capabilities based on the company's needs. The administrator ensures the PPM tool is tailored to the company's specific needs and is aligned with other systems to ensure data accuracy and consistency. The administrator is responsible for providing user support and training, helping team members and stakeholders effectively use the tool to manage resources, schedule, budgets, and project risks.The Senior PPM Tool Administrator plays a strategic role in project portfolio management. The administrator collaborates with project managers, program and portfolio managers, and senior leadership to ensure the tool provides valuable insight into project performance and alignment with organizational and strategic goals. By managing the PPM tool effectively, the administrator helps the organization make informed decisions about project prioritization, resource allocation, and portfolio optimization, ultimately contributing to the successful delivery of projects and achievement of strategic objectives. - Drive development and maintain functionality in the platform to support Workfront as the organization's system of record for Portfolio and Project Management.
- Advise on business, user, and system requirements. Recommended solutions should align to corporate objectives and follow platform best practices while ensuring efficiency and effectiveness, maintaining application integrity.
- Lead discovery meetings with teams to map current and future state process and data diagrams to recommend Workfront solutions.
- Manage licensing and user access levels.
- Build and test functionality in alignment with best practices and design specifications.
- Summarize specifications, design, features, and operation of new processes. Create troubleshooting articles and job aids. Maintain documentation as required to provide application integrity.
- Oversee as well as conduct user acceptance testing and obtain sign off from stakeholders.
- Provide support and training on new features to maximize consistency and efficiency.
- Determine training objectives and develop curriculum. Create course materials and other teaching aids as required. Ensure materials address all access levels, user personas, and reflect current product features.
- Conduct virtual, technical trainings for users of varying skill sets.
- Provide high quality support through resourceful, technical problem solving. Direct internal customers to correct resource or provide a resolution.
- Report creation and dashboard configuration for internal teams and external clients.
- Support queue management of risks and issues. Provide timely, effective support. Recognize need to escalate for more difficult problems. Develop preventative solutions as required.
- Ensure any potential risks to the integrity and support of the enterprise platform are managed appropriately through effective risk controls and control testing.
- Continue to build the appropriate partnerships with platform vendor, holding the vendor accountable to SLAs, and achieving return on investment for using the platform.
- Keep abreast of industry best practices and advancements in project and portfolio management platforms that may better support enterprise objectives and assess their effectiveness against the Workfront platform.What you'll need:
