JOB SUMMARY:Ensure compliance with all international documentation requirements, company policies and protocol, to securerequisite documentation for shipboard and rehearsal deployment. Provide all logistical service and information to joining theatrical guest entertainers and contractors. Provide administrative support to Manager, Theatrical Operations and Creative Studios. Assist team members within the Theatrical department with daily administrative functions.DUTIES & RESPONSIBILITIES:Work closely with the Operations Team to support everyday operations in regard to housing and travel for contractor positions.Work with NCLH travel partners to arrange air transportation to and from Creative Studios for rehearsal purposes as needed. Arrange air/ground travel to and from ships for show installs and secure lodging when necessary.Coordinate with Creative Studios hiring managers, travel team and global hiring partners to research and procure the most cost-effective travel, while maintaining compliance with established policies, and applicable regional visa restrictions.Work closely with Revenue Operations to secure and/or arrange cabin space for installation teams and additional vendors using Appian.Work with Port Agents as needed for installs including coordinating transfers from airport to hotel, to and from ships, etc.Coordinate with all global hiring partners, Theatrical Operations Specialists, joining theatrical guest entertainers and contractors, U.S. and foreign embassies/consulates, port agents, as well as shipboard and shoreside team members to ensure that all pre-employment requirements have been met.Provide administrative and clerical support to the team including air travel, hotel and shipboard reservations, coordination calendars, and incoming correspondence, maintaining files and composing routine correspondence on own initiative for approval.Provide all travel information (flight details, lodging, reservation numbers, etc.) on detailed travel grid to CS Management.Communicate with ship personnel on arrivals of entertainment team, along with their pertinent show information. Ensure to notify ships of changes or cancellations.Track invoice activity in order to confirm invoices have been paid. Use Recall history to track past invoices and send to Finance, Accounting and or NCLH Entertainment personnel.Reconcile Concur reports for all logistical expenses.Ensure to update MAPS APPIAN, TEAMS, CONCUR and Monday.com with travel and crew information.Update and/or create spreadsheets for various operational use in Excel including logging and tracking of hotel bookings.Perform other duties as assigned.QUALIFICATIONSDEGREE TYPE:High School DiplomaEXPERIENCE:0-1 years in administrative role supporting a team of management and staff members. Entertainment background preferred.COMPETENCIES/SKILLS:Must have strong communication, organizational and computer literacy skills.Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) is required.Creative ability is essential. Proficiency in TEAMS, Appian, MAPS, MXP, and Monday.com.Good written and verbal communication skills required in order to effectively interact with joining contractors, hiring partners, port agents, embassies and consulates, Human Resources/Crew Pursers onboard and shore side team members within the organization.Excellent organizational skills in order to meet multiple deadlines and high-volume contractor movement while working in a fast paced environment.Ability to shift priorities based on scheduling/business demands.Must have the ability to work autonomously with little supervision.Knowledge of general global geography to facilitate travel logistics needs and mitigate travel costs.Knowledge of or ability to gain familiarity with contracts and agreements in order to effectively execute travel needs.Ability to handle and maintain confidential information.To Executive Search Firms & Staffing Agencies: NCLH does not accept unsolicited resumes from any agencies.
