This role is essential for handling clerical responsibilities such as reconciling forms, hiring packets, and signatures to assist the Facilities Human Resources Business Center with hiring new employees. This position also provides needed support to departmental employees on purchase orders, submitting invoices, processing donations, and other responsibilities as assigned.Responsibilities: - Coordinates the development, implementation, & interpretation of operating procedures, including best practices and scheduling activities. Assists in ensuring the goals and objectives of the department are communicated and achieved. Supports the unit in developing and implementing project & office operations.
- Pays vendor invoices per UCF's Purchasing and Finance and Accounting guidelines and procedures. Tracks all invoices received and enters them into the university financial system.
- Stocks and orders office supplies and forms for the units, along with uniform issuance. Assists in the development of competitive solicitation documents.
- Researches suppliers and obtains quotes, specifications, and other data related to goods and services.
- Submits requests for building keys for employees and vendors including sponsoring accounts, building access, email addresses, and log in access for applications and relevant software. Assists with submitting work orders.
- Assists with creating and modifying departmental manuals, guidelines, SOPs, and handbooks consistent with federal, state, and local guidelines.
- Schedules unit staff meetings, key events affecting the unit, and disseminates pertinent information to unit staff members.
