Position Summary


  • Processing constituent registration applications for participation in specific Institute of Continuing Judicial Education (ICJE) learning activities
  • Organizing and producing pre-conference materials for distribution on-site
  • Compiling evaluation data and attendance records for post-conference reports
  • Coordinating pre-conference venue logistics such as food service, audio visual needs, meeting space set-up and other related tasks
  • Collegial interaction will the assigned coordinator as well as persons working in the area of administration as routinely needed.


    Also, occasional overnight, in-state travel to conference venues.


    Knowledge, Skills, Abilities and/or Competencies

    • Significant periods of time using a computer work station, along with the capability and interest in learning new computer skills.
    • Proficient in attentiveness to detail, multi-tasking, and prioritization.
    • Demonstrable ability as well as willingness to interact hospitably as a colleague with other personnel in the organization is also a key element of successfully doing the work.
    • Ability to create and maintain database software information for registration and educational reporting purposes.



      Physical Demands

      • Occasionally lift the equivalent of a paper or banker's box weighing 25 pounds.
      • Work each day, usually seated, with computer screen data for lengthy periods of time.
      • Computer work station in a shared office space involving some telephonic interaction with other people.

        Duties/Responsibilities

        • Input attendee registrations in to PSO, including sorting training request applications, verifying/ updating personal information; emailing receipts and confirmations to attendees.
        • Telephone, fax, and e-mail communication regarding enrollment issues related to sign-up forms to verify inconsistent or incomplete information.
        • Maintain attendee rosters for approximately 25 ongoing events involving over 1500 constituents and about six constituency groups.
        • Maintain and report this information to different committees and groups regularly using PSO, MS Word and MS Excel.
        • Regularly send email reminders to constituents regarding upcoming courses including, constituent advisements, venue specifications and enrollment modifications.

          • Assist the event coordinator prior to the conference with compiling all materials needed on-site, including attendees' name badges, handout materials, special dietary cards for meals and any other special needs for the conference.
          • Prepare feedback forms used on-site by attendees, i.e. evaluations.

            • Assist the event coordinator after completion of the conference with reporting the course evaluation feedback, both numerical data and written comments for dissemination to the coordinator of the event, any speakers or other appropriate staff members for dissemination to the board of trustees on a quarterly basis.
            • Input, maintain, and regularly report approved hours of attendance to staff members as well as other committees and groups (hours will be maintained in PSO as well as an MS Excel spreadsheet).
