The GME team provides resources, how-to manuals, policies and guidelines, and other information to help program teams manage graduate medical education programs for residents, fellows, observers, and visiting trainees. About the Position:The Surgery Education Associate Education Manager is a leader in the Surgery Education Office. This role is responsible for: * Supervising and training surgery program administrators * Developing programs * Managing all aspects of program accreditation compliance * Consulting with program leadership and administration * Interpreting, developing, and sharing education-related policy * Sharing knowledge, and managing administrative processes and functions. The position will also involve direct administrative management of two accredited surgical training programs, making certain they adhere to all required standards and guidelines. This highly valued and visible position leads, represents, and grows the surgery education team in partnership with faculty and administrative leadership. This position will report to the Surgery Education Manager and partner with the Surgery Education Leadership team, SAC Education Manager, and education program faculty and staff leaders. This position is expected to be on campus at least one to two days per week, with a remote work option for three to four days per week. The employee must attend pre-planned in-person and virtual events ad hoc throughout the year. A successful candidate: * will have very strong organization, written and oral communication, attention to detail, and prioritization skills. * MUST be able to primarily work independently, sometimes outside of the regular M-F workday. Job Responsibilities/Duties: 35%-Surgery Education Programs - Lead Supervision and Team Leadership* Formally supervise work and guide professional development for surgery education program administrators * Build an effective team, as well as create cross-coverage plans and consistent support across surgery training programs * Advise staff on work performance, best practices, and new initiatives * Partner with all DOS leaders, faculty, and staff to meet program needs Administrative and Financial Management of Surgery Education Programs * Consult with senior administrators: Surgery Education Manager and SAC Education Manager, to: *Provide financial oversight of DOS program FTEs: collate/monitor/report GME FTE allocation, use, and plan data for the program directors' discussions and meetings * Manage HR requirements and processes for accredited and non-accredited programs and trainees, including coordinating the hiring process for non- accredited Instructor fellows *Develop new surgical training programs *Direct fiscal activities, including budgeting, expenditures, and forecasting for surgical programs Cross-Program Project Leadership * Seek and lead the adoption of best practices and mechanisms for required information sharing across surgery training programs * Lead preparation for ACGME (Graduate Medical Education accrediting body) site visits, and annual reporting requirements * Lead department and medical school-wide initiatives across all surgery training programs, in collaboration with the Vice-Chair for Education, Program Directors, and Surgery Education Manager * Ensures consistent processes across programs * Interpreting, developing, and sharing education-related program policy * Sharing knowledge, and managing administrative processes and functions * Partner with the communication team on marketing materials and website updates across programs 65% Administrative Management of Accredited Surgery Programs Accreditation * Ensure compliance with ACGME and institutional requirements through effective communication, policy drafting and adherence, and documentation preparation and retention Recruitment & Onboarding Activities * Manage the recruitment activities and onboarding/offboarding of program trainees Program Tasks and Events * Manage, through handling logistics and communication, various program tasks and events throughout the year Qualifications All required qualifications must be documented in the application materials.Required Qualifications: *BA/BS plus at least four years of experience or a combination of related education and work experience to equal eight years. *Experience directly supervising staff or leading large projects. *Demonstrated experience overseeing a wide range of administrative processes with a commitment to professionalism and confidentiality *Demonstrated strong interpersonal skills and customer service experience *Demonstrated critical thinking skills with the ability to problem-solve independently and provide input on process improvements *Experience working in Graduate Medical Education (GME) *Must be TAGME certified or become certified within one year in the positionPreferred Qualifications: *Experience managing relationships with multiple stakeholder groups in a large organization. *Strong analytical and organizational skills with the ability to manage multiple stakeholder priorities. *Adaptable with a solid ability to organize and manage competing priorities and lead and motivate staff through change.
