Job Summary

The Eye Bank Donor Coordinator processes all donor referrals by telephone and e-mail; determines eligibility and suitability of referrals for eye donation; obtains legal authorization and medical/social history from donor families; coordinates the recovery of eye tissue; maintains and completes donor records in the Utah Lions Eye Bank database.

Responsibilities
Essential Functions
--- Documenting all information for each potential donor referral in the ULEB referral database.
--- Interviewing referring hospital healthcare professionals concerning medical history of potential donors to determine donor eligibility.
--- Screening every potential case in relevant Electronic Medical Records (EMR).
--- Performing preliminary plasma dilution assessment of potential donors with information obtained from the healthcare professional and/or code sheets, EMS reports, and transfusion records to determine whether or not a pre-transfusion blood sample will need to be obtained by the Eye Bank Tissue Recovery Specialist.
--- Contacting Authorizing Decision Maker of potential eye donors over the telephone to present the option of eye donation and answer any questions they may have about this process.
o If the family chooses to donate, the Donor Coordinator obtains recorded authorization and completes a medical/social history questionnaire over the phone.

--- Coordinating ocular tissue recoveries for each donor with the on-call Eye Bank Tissue Recovery Specialist and the transportation of ocular tissue procured from outlying locations to the ULEB office.
--- Printing a copy of donor's medical chart prior to recovery and uploading into the ULEB database, or arranging for a copy of the hospital chart to be made and providing the location of the chart to the Eye Bank Tissue Recovery specialist if unavailable in the EMR.
--- Evaluating referrals for recovered cases to update and prepare for release of tissue for transplant by reviewing the case, scanning and uploading required documents, and calling families to complete outstanding medical/social history questionnaires as needed.
--- Unpacking and processing eye tissue and blood samples for tissue shipments received from off-site locations (i.e. St. George).
--- Labelling and shipping ocular tissue as needed per FDA/EBAA/ULEB policies and procedures.
--- Packaging blood specimens as needed for timely pick-up and shipment to laboratory.
--- Knowing and utilizing OSHA standards when handling tissue and disposable hazardous materials and participating in annual bloodborne pathogen training.
--- Maintaining compliance with Federal HIPAA regulations and completing annual HIPAA training as required by the University Of Utah School Of Medicine.
--- Performing medical consults with the administrator-on-call (AOC) as needed.
--- Maintaining excellent customer service relations with referring hospitals, OPO, and OME.
--- Participating in Monthly staff Meetings
Completing annual Bridge/LMS training per University of Utah Health Academics policy.
--- Participating and complying with established Quality Assurance policies and assist with routine monitoring upon request.
--- Accomplishing special projects as assigned by Eye Bank Communications Supervisor or Eye Bank Communications Manager.
--- Performing other duties as assigned

--- Clerical support/data entry skills in medical or health related field.
--- Possess general medical knowledge and apply these skills in determination of donor eligibility.
--- Strong communication skills and excellent telephone etiquette.
--- Ability to prioritize calls and triage donors to maintain efficiency in ocular tissue recovery with minimum supervision.
--- Ability to multitask and handle a high stress environment without sacrificing customer service or safety.
--- Exercise good judgment and initiative, keep confidences, be honest and discreet.
--- Maintain an excellent attendance record.
--- Ability to be a supportive team member.
--- Possess knowledge of all ULEB procedures, EBAA Medical Standards, and FDA regulations pertaining to eye banking.
--- Know and follow current hospital and Medical Examiner office procedures regarding organ/tissue donation in accordance with current FDA/EBAA/OME/ULEB Policies and Procedures.
--- Interact professionally with all persons, both internal and external, in a friendly, customer service-oriented manner.

Minimum Qualifications
Associate's degree in sociology, psychology, social sciences, a related field or equivalency (one year of education can be substituted for two years of related work experience); plus one year of related experience. Demonstrated human relations and effective communication skills also required. Certification as an Eye Bank Technician or Nursing Assistant is preferred

This position is not responsible for providing patient care.

Preferences
--- Prefer one year in eye, organ, or tissue banking.
--- Optional: Certification as an Eye Bank Technician, Ophthalmic Technician or Tissue Bank Specialist is preferred.
--- Experience with medical terminology also preferred.
--- Associate's degree in psychology, social work, related field or scientific discipline or equivalency. Demonstrated human relations and effective communication skills.
--- Each Eye Bank Donor Coordinator completes a formal training period prior to assuming these responsibilities.
